Director of Operations

LOCATION: In-Office, Richmond, VA
Salary: $65,000 - $70,000 DOE

We are seeking a dynamic and strategic Director of Operations to lead and optimize our business operations. The ideal candidate is a visionary leader with a proven operational excellence and strategic planning track record. This role requires an individual who excels in dynamic environments and is committed to driving excellence across all operational facets, including strategic planning, process optimization, client relations, and team leadership

As the Director of Operations, you will be responsible for setting comprehensive goals for performance and growth, leading company operations, and implementing policies that promote company culture and vision. This position demands a high degree of leadership, organization, and the ability to design and implement effective work processes and strategies.

HOW YOU WILL CONTRIBUTE TO THE TEAM:

  • Develop and implement operational policies and strategies to align with company goals.

  • Develop and implement HR strategies and initiatives focused on individual and team training.

  • Designing and implementing comprehensive employee engagement and client retention strategies.

  • Managing internal and external stakeholder relations, including coaching and mentoring.

  • Lead, mentor, and expand the operations team to ensure optimal performance.

  • Analyze and improve organizational processes and work to improve quality, productivity, and efficiency.

  • Liaise with third-party accounting team to provide financial data, explanations, reports, and receipts supporting financial and accounting functions. 

  • Oversee resource allocation and budgeting, providing cost-saving solutions where necessary.

  • Monitor and manage accounts receivable through FreshBooks, including handling invoice reminders and client follow-up communications and maintaining timely accounts receivable. 

  • Provide sales support by managing proposal follow up and communication through client signing. 

Interim Coordinator Support

  • Support human resources functions such as coordinating interviews, scheduling, maintaining event staff records, and sending weekly operational reports.

  • Arranging and managing the onboarding of new employees.

  • Conduct research for team development and keep track of team schedules and resources.

  • Participate in the creation of company culture and policy enforcement.

  • Planning and organizing conferences, events, staff training, and employee engagement activities.

  • Manage, update, and assign equipment, inventory, and password changes.

  • Support marketing functions by engaging with our audience on social media platforms, including Instagram, LinkedIn, and Facebook, and maintain the social media calendar.

  • Handle administrative tasks such as checking mail, inventory management, office supply procurement, making travel arrangements, and maintaining cleanliness and tidiness of all offices.

  • Provide customer service and support to event teams, and coordinate event planning timelines.

  • Preparing and maintaining operations documents and reports.

EXPERIENCE NEEDED

  • 7-10 years of operations experience, preferably with some at a managerial or director level.

  • Previous work experience in events or hospitality is a plus

  • Bachelor’s degree not required, but is a plus

  • Proactive problem-solver with the ability to work under minimal supervision.

  • Strong understanding and experience with FreshBooks, PandaDoc, Podio, and various social media platforms.

  • Ability to adapt to changing priorities and maintain a positive attitude and strong work ethic.

  • Proficiency in MS Office 

  • Experience with inventory management software.

Initial compensation offer:  $65,000 - $70,000 per year; based on experience. 

Years of Experience Required: 7-10 years

Work Hours: Standard 8:00a - 5p, Flexibility to work beyond standard hours for strategic planning and high-level decision-making.

Travel:  up to 35%
