EVENT PRODUCTION COORDINATOR

LOCATION: In-person, located in Richmond VA
Salary: $61,000

While a typical PRODUCTION COORDINATOR has less than five years of full-time event experience, the right candidate will either have studied and received a certificate or degree in event planning and/or a beginner-level understanding of event terms and operations.

HOW YOU WILL CONTRIBUTE TO THE TEAM:

  • Manage online event registration by setting up the registration website, monitoring registration numbers, providing suggestions and ideas on increasing attendants, looking for trends, track and report on registration counts.

  • Collaborate with cross-functional teams, including marketing, design, PR, and other departments to ensure a seamless event.

  • Research, request pricing, and confirm vendors

  • Recruit, request, and follow up with potential event sponsors

  • Set up, support, and manage on-site events

  • Manage speakers and talent coordination

  • Find and book entertainment

  • Manage sponsor benefits

  • Schedule staff to work events

  • Manage exhibitors by creating floor plans for virtual and exhibit booths

  • Communicate directly with exhibitors on booth location, passes, and answer questions.

  • Provide technical assistance to virtual event attendees

  • Provide support to the technical director by creating production notes and the run of show document

  • Provide exceptional client management by taking notes, scheduling and managing meetings, and sending reports as requested.

  • Post-event, gather feedback from attendees, sponsors, exhibitors, and staff to constantly refine and improve future events.

EXPERIENCE NEEDED

  • Previous corporate event planning experience is required

  • Extensive study or certificate in hospitality or events

TECHNICAL EXPERTISE

  • Google Apps for Business

  • Podio with CRM experience

  • MS Office Suite

  • Canva

  • Bizzabo

  • All Seated

  • Expertise in Zoom and other video conferencing tools

SKILLS

  • Strong communication skills, both written and oral, with an ability to effectively convey information and work with a variety of stakeholders.

  • Ability to think on the fly and address unexpected challenges swiftly and professionally.

  • Handling multiple tasks simultaneously while ensuring all event-related aspects run smoothly.

  • Availability to work unconventional hours and weekends, depending on the event schedules.

  • Ability to lift and move event materials and equipment as necessary.

Work Hours: Standard 8:30a - 5:00p, with extended hours required in the weeks leading up to an event. 

Working evenings and weekends may be required to support events.

Travel: up to 25%

Compensation: $55,000 - $60,000
