LOCATION: In-Office, Richmond, VA
Salary: starting at $65,000

HOW YOU WILL CONTRIBUTE TO THE TEAM:

  • Design innovative and strategic event solutions catering to clients from diverse industries.

  • Oversee, nurture, and strengthen client relationships and projects.

  • Lead, mentor, and train teams of event producers, fostering professional growth.

  • Oversee the holistic master production schedule, ensuring timely execution.

  • Clearly define and delegate roles and responsibilities for all event team members.

  • Ensure meticulous execution and management of project deliverables.

  • Direct overall event logistics with precision.

  • Expertly negotiate vendor contracts, ensuring value and quality.

  • Draft and implement detailed production/show schedules for each client project.

  • Ensure events are executed within or under the allocated budget.

  • Supervise the marketing and creative teams, ensuring all client deliverables are met.

  • Develop and maintain a rigorous daily checklist to drive productivity and organization.

  • Strategize for speaker, sponsor, vendor, registration, exhibitor, and attendee experiences, enhancing event value.

  • Manage cross-functional teams, especially creative and a/v teams, promoting synergy.

  • Oversee the financial intricacies of the event – from budgeting and negotiating to auditing.

  • Stay abreast of current event trends, ensuring the company remains at the forefront.

  • Manage, distribute, and analyze RFPs, ensuring the best opportunities are captured.

  • Lead teams hands-on, stepping in to execute event logistics when necessary.

  • Advocate for and provide continuous professional development opportunities for the team.

  • Proactively identify client needs, collate pertinent data, and make strategic recommendations.

  • Plan for unexpected challenges, including weather disruptions, technical glitches, and emergency situations, ensuring there's always a backup plan in place.

EXPERIENCE NEEDED

  • Required

    • Extensive corporate event experience

    • 10 - 15 years of event or project management experience with a portfolio of over 100 planned events.

  • Preferred:

    • Bachelor’s degree or certification, with a specialization in hospitality or event management

TECHNICAL EXPERTISE

  • Google Apps for Business

  • Podio with CRM experience

  • MS Office Suite

  • Canva

  • Bizzabo

  • All Seated

  • Expertise in Zoom and other video conferencing tools

  • Comprehensive understanding of event terminologies and operations

  • Mastery in Contract Negotiations and Vendor Management

  • Experience in sponsorship sales

Number of People Supervised: 2-4

Work Hours: Standard 8:00a - 5:00p, with extended hours required in the weeks leading up to an event. 

Working evenings and weekends may be required to support events.

Travel:  up to 40%
