ASSOCIATE PRODUCER

LOCATION: Remote, must be located in Virginia
Salary: $61,000

As an Associate Producer at our organization, you will find yourself navigating the dynamic intersection of creativity, strategy, and execution. Balancing both the artistic and operational elements of event planning, you will be instrumental in bridging the gap between vision and realization. We're seeking a professional who has experienced the fast-paced world of events and is eager to take their career to the next level by diving deeper into strategic event solutions and client relationship management.

HOW YOU WILL CONTRIBUTE TO THE TEAM:

  • Collaborate with producers to design and implement innovative event solutions tailored to diverse client needs.

  • Serve as the event director for various events, ensuring continuity and smooth execution.

  • Stay updated with the latest trends in the event industry and suggest innovative ideas.

  • Play a pivotal role in strengthening and nurturing client relationships.

  • Work closely with vendors, ensuring timely deliverables and contract adherence.

  • Nurture relationships with potential and current sponsors, ensuring alignment with their expectations.

  • Assist in the creation and adherence to master production schedules.

  • Support in defining and delegating roles and responsibilities for the event team.

  • Collaborate with the Production Coordinator to integrate ground-level feedback into strategies and take over responsibilities with the PC is out of the office or unavailable. 

  • Coordinate with cross-functional teams, including marketing and creative teams, ensuring event themes and client visions are realized.

  • Identify potential risks and collaboratively develop contingency plans.

  • Assist in monitoring event expenditures, ensuring events remain within financial boundaries.

  • Participate actively in post-event debriefings, bringing in insights and suggestions for improvement.

  • Compile post-event data to create detailed reports highlighting key takeaways and areas for improvement.

  • Assist in analyzing RFPs and identifying best-fit opportunities.

  • Support senior producers in strategic planning for speakers, sponsors, and attendees, enhancing event value.

EXPERIENCE NEEDED

  • Bachelor’s degree, preferably in hospitality or event management.

  • 5-10 years of event or project management experience.

TECHNICAL EXPERTISE

  • Google Apps for Business

  • Podio with CRM experience

  • MS Office Suite

  • Canva

  • Bizzabo

  • All Seated

  • Competence in Zoom and other video conferencing tools

  • Familiarity with event terminologies and operations.

  • Basic skills in Contract Negotiations and Vendor Management.

Number of People Supervised: 1

Work Hours: Standard 8:30a - 5:00p, with extended hours required in the weeks leading up to an event. 

Working evenings and weekends may be required to support events.

Travel:  up to 40%
